7 Things Your Executive Assistant Should Be Doing...

How to Maximize Your Time & Get More Done

I recently hired an executive assistant to help me with the overflow of smaller, administrative-type tasks within my business.

And I have to be honest…

It’s been one of the best decisions I’ve made.

And something I should have done at least 6 months ago.

After quickly finding a rhythm working with my executive assistant (EA)…

Here are 7 ways to use an executive assistant (the right way):

1. Offload email and calendar tasks to your assistant

In your business (especially if you’re the founder), you need to focus on growth, not admin.

I get an email at the EOD telling me what I have the next day (with notes and goals for each meeting).

Also, my EA goes through my email and responds where she can then gives me a report of all activity at EOD (and a list of emails she needs help with)

2. Have them in customer chats

My EA is in all our client channels.

She is able to give help when needed and brings me in when it is something that I need to personally do.

This helps me be present in my work and present with my clients.

3. Get your assistant to research and vet potential clients

When clients book a call my EA does a brief for me.

If they aren't a fit for our service, she sees if we can resource them.

Keeps me from getting on unqualified calls while still helping.

Bonus: She creates a list of people who interact with me and in my messages to have personalized follow-ups with.

4. Hand over social media inbox management

My inbox can be a dumpster fire.

My EA goes in and makes sure we are on top of messages and tags each message appropriately.

Keeps everything streamlined.

5. Use your assistant to track key metrics

Every Monday my EA sends me a client report that our team reviews.

Where are we at with:

  • Content

  • Contract

  • Satisfaction

Then we make adjustments accordingly.

6. Set up a group chat for one-offs

This can be on text or slack.

Slack is best because then you can search past conversations.

Anytime you need help, send it here.

My last 3 tasks were:

  • Prepare an invoice for a client

  • Change my dentist appointment

  • Order hats and polos for our team

7. Have your assistant handle follow-up

Every meeting I have is recorded with Fireflies.

My assistant reviews and handles all the follow-up.

It has been a game changer for our business.
